The problem

A growing commercial insurance brokerage was doing everything by hand — chasing leads one text at a time, with no front door online to capture them and no clear read on how the team spent its day. The work that should compound was leaking out the sides. Outbound was the obvious fix and also the dangerous one: Florida regulates how insurance is advertised, and a brokerage that describes itself wrongly at volume creates a compliance problem faster than it creates pipeline.

What we built

We embedded and built the agency end to end. A live marketing site that captures leads and quote requests. Automated outreach on their own domain and their own numbers — email and SMS run as one function, with two-way replies routed back to the team and a live dashboard of what is sent, answered and clicked. A disclosed, privacy-first activity tool that turns producers’ day-to-day into coaching rather than surveillance. We produce their AI video content as well.

The part that makes it safe to run

Volume is the easy half. The reason this engagement can run daily without becoming a liability is a set of checks that run before anything leaves.

The agency places coverage. It does not insure anything.

Carriers underwrite the risk; the brokerage places it. "We insure" claims something the business does not do, and Florida Statute 626.9541 governs how insurance is advertised in the state, so the distinction is a compliance matter rather than a stylistic one. An automated check rejects the first-person verb before a message can send — it is not left to whoever is writing that day.

A figure only travels to the vertical it came from.

The savings story belongs to one general contractor, so it runs in construction copy and nowhere else. Elsewhere the same argument runs without a number attached. The validator fails any dollar figure that appears outside its lane.

We tested the check by breaking it on purpose.

A rule nobody has watched fail is a rule you only think you have. The copy gate was verified by planting a violation and confirming it was caught, which is the only evidence that a passing check is testing anything at all.

Cold and warm are separate lanes on the same machine.

Cold outreach works new prospects. A separate warm lane asks existing customers for public reviews, built off the agency’s own production report. Opposite ends of the relationship, one system.

Where it landed

One partner now runs the agency’s front door, its outreach engine, and its internal training loop — on their stack, used the day each piece shipped. Instead of stitching together freelancers, they have a team that owns the result.

Their outbound runs every day whether I'm thinking about it or not. My producers start the morning on replies from real Miami-Dade businesses instead of a list nobody has touched. And the whole front door — the site, the texts, the dashboard my team works out of — is one partner's problem now instead of five freelancers'.
